This Privacy Policy explains how Machinise K.K. ("Machinise", "we", "us") collects, uses, and protects personal information when you visit machinise.com (the "Site"). We aim to align with the EU General Data Protection Regulation (GDPR) for visitors in the European Economic Area, and with Japan's Act on the Protection of Personal Information (APPI).

Who we are

Machinise K.K. is a Japanese company (kabushiki kaisha) operating from Tokyo, Japan, with an office in Tournefeuille, France. For any privacy question, contact us at hello@machinise.com.

For visitors in the European Economic Area, Machinise is the data controller for personal data processed through the Site.

What we collect

Information you provide. When you submit the contact form, we collect your name, email address, optional company name, and the contents of your message.

Information collected automatically. We are introducing privacy-conscious analytics that runs only with your consent; it is not active today. When enabled, it will record limited usage data — such as pages viewed, approximate location derived from your IP address (not stored as a precise address), device and browser type, and referring source — and it stays off unless you accept it.

How we use your information

We use the information to:

• respond to your message and follow up on your inquiry;
• understand how the Site is used so we can improve it (only with your consent to analytics);
• maintain the security and integrity of the Site;
• meet our legal obligations.

We do not sell your personal data, and we do not use it for advertising.

Legal bases (GDPR)

Where the GDPR applies, we rely on: your consent (for analytics cookies); our legitimate interest in responding to inquiries and operating a secure, useful website; and compliance with our legal obligations. You can withdraw consent at any time — see "Your rights and choices" below.

Service providers

We share data only with the providers that help us run the Site, each acting as our processor under contract:

• Vercel — website hosting and delivery;
• Resend — delivery of contact-form messages to our inbox;
• PostHog — product analytics (being introduced), with EU data residency and enabled only with your consent.

These providers process data on our instructions and are bound to protect it.

International transfers

We operate between Japan and the EU, and some providers may process data outside your country. Where personal data is transferred internationally, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses or an adequacy decision. Our analytics, when enabled, is configured for EU data residency.

Data retention

We keep contact-form messages only as long as needed to handle your inquiry and any follow-up, then delete or archive them. Any analytics data we collect in future is kept in aggregated or pseudonymized form, and no longer than necessary for the purpose.

Your rights and choices

Subject to applicable law, you may ask to access, correct, delete, or port your personal data, or to restrict or object to its processing. You can change your cookie choices at any time using the cookie banner or your browser settings. To exercise any right, email hello@machinise.com. If you are in the EEA, you also have the right to lodge a complaint with your local data protection authority.

Children's privacy

The Site is not directed to children under 16, and we do not knowingly collect personal data from them.

We may update this Privacy Policy from time to time. The "last updated" date above reflects the latest version, and material changes will be posted on this page.
